Users and permissions


Assigning different permissions to users allows you to control processes and access to data. Thanks to different roles, the user can focus on completing their tasks without having to delve into operations outside their scope of competence. For example, a Manager can have almost full access to all operations and settings to effectively manage and monitor the company's activities. Users with the Observer role can track progress and optimization results without being able to interfere with the main operations, and Planners will have the appropriate permissions to plan a route, but without the permissions to make payments. These are just examples of roles. [Users] and [User roles] can be edited by any user if they have the appropriate permissions. The account owner assumes the role of the account administrator and has unlimited access to operations within the account. 

To use the "Permissions" Module, please contact Routimo service, where we will help you configure [Users], [User Roles], and [Branches]. To learn about the costs of implementing the module, contact the sales department or via the contact form.

If you already have the [Users] module enabled, you can add [Users] yourself and assign them roles.
To do this, go to the side panel on the left and select the [Users] tab. The top panel will show the [Users], [User Roles] and [Departments] tabs. First, click [User Roles], where you can assign a [Name] to the role, enter a [Comment] for the role, and configure permissions for each Module. You can delete [User Roles] using the trash can icon or edit them freely by clicking the pencil icon on the right side of the screen.

The list of modules depends on the account configuration – availability of given modules.

Each module and function has four types of permissions:

  • Read – browsing data, without it it is hard to imagine granting other permissions,
  • Create – creating/adding, e.g. adding a new vehicle or running optimization (which adds routes),
  • Uupdate – modify, e.g. modify vehicle data, modify route.
  • Delete – deleting, e.g. deleting a vehicle, deleting a route.

In the image below, the "Manager" role has been assigned to him, who has been given a wide range of permissions, but without the ability to perform any actions or even view the [Payments] and [Configuration] functions.


An example of a "Planner" role that will allow users to plan routes but will block access to modules not required for this role.

After assigning roles, click on the [Users] tab in the top menu, then the green [Add user] tile. Enter [Name and surname], assign [Login], select the previously added [Role] from the drop-down list, and also select [Branch] (optional - branches are entered by the Routimo service). Finally, assign [Password] and repeat it in the next field. You can now activate the [User] by clicking the tile on [Yes]. The [Add] tile will change to active green, which you can click on.


[Users] and [User roles] will only be able to be assigned by a user with permissions to the [Users] module, and of course the administrator – the owner of the account. The administrator can also view [Client Panel] / [Payments], [Modules], [Payment history], [My account].


Each [User] will have a [User Panel] available, where they will be able to change their [Name and Surname] and [Password].

Company branches are a way to further restrict user access to selected data. If a client user is assigned to one branch, then they only have access to data associated with the branch, including projects, tasks or vehicles. If a user is not assigned to a Branch, then they have access to all data in accordance with the authorizations they have. The situation is similar for other registers, including: [Projects], [Vehicles] or [Points]. For example, a vehicle assigned to a given branch will not be available in other branches of the company. However, vehicle licenses are settled within the entire company. If a company (account) has purchased 100 licenses, then each branch can use up to 100 vehicles, but the total number of vehicles from all branches cannot exceed the limit.
